Why do we need data?

NJ requires that each school district submit a multitude of data regarding student progress.  This data ranges in subject and includes but is not limited to student enrollment, demographics, graduation, course grades, and CTE and DE pathway participation.

The Data Team has created the Data Integrity Dashboard to ensure that we can accurately provide information to the state.  We check for:

  • State data errors we'd receive upon submitting a report
  • Data inconsistencies between similar PowerSchool fields

How do I access the Data Integrity Dashboard and see errors?

  1. Click  Data Integrity Dashboard to access the dashboard
  2. You should see an email and password field.  Enter your Passaic email and the password field should disappear. If you cannot access Tableau, create a helpdesk ticket.
  3. Then, click on the My Error List tab to see the errors that apply to your school or group.

What order should I be resolving these errors in?

Errors should be resolved based on the level of their severity and the number of state reports that they'll impact.  We've created different Error Groups so you'll be able to more clearly identify the order in which errors need to be resolved.

Based on your responsibilities, you may not see all of these Error Groups but should still follow along in this order.

  1. Registration
These errors are related to a student's active status in our schools and should be resolved first as they impact all reports.
  2. Enrollment
Impacts student enrollment in particular district programs.
  3. Student Contacts
All students should have valid contacts in PowerSchool to ensure we can reach out in case of an emergency.
  4. Graduation
All students in High School must have appropriate graduation information, as required by the state for reporting.
  5. Scheduling and Rollover
This will impact where the student will be next year once the rollover occurs.  Incorrect information here may result in a student being placed in the wrong school, grade level or being graduated in error.
  6. State Reporting - SID
Students with errors in this category will not receive State ID numbers. This will impact their ability to take district and state assessments. Note: We run the SID report and receive new SIDs every week.
  7. Direct Certification
These errors will affect our monthly Direct Certification process, which allows our students to receive Free or Reduced Price Lunch from the state.
  8. State Reporting - SPED
Students with errors in this category will also be in error on the NJ Smart Special Education and State Assessment Registration Submissions which are submitted in October and December of each school year. This may also impact testing accommodations.
  9. State Reporting - CTE
This affects our annual CTE submission at the end of the school year.  To prevent error build-up these errors should be reviewed on a regular basis but resolved in earnest during May and June.
